  1. As of yesterday, I was required to react to the timing of my resignation in accordance to the contract. I knew I understood the content of the contract but was scared of some terminologies that were used. After speaking to a good friend of mine and reading this article,I had a sense of direction as to how my response mail was supposed to be. Now, the case has been reviewed by the director and finally closed in my favor. Thank you Barr. Blessing for sharing this link with me. Thank you so much Dr. Beryl for this prompt write-up. This is indeed timely and was for me.

    1. Dear Sam, thanks for reaching out with a question. I’ll share my thoughts and draft letter you can use to respond. A Query is an inquiry towards resolving an issue. Be sure to respond by first acknowledging the communication. If you know nothing of the matter, express this and provide alternative sources if possible. You must be seen to be transparent and committed to the organization and its values. Check out the draft letter I prepared for you below. I hope it helps.

      1. Dear [HR Representative’s Name],

I hope this letter finds you well. I am writing in response to the query I received from the HR department regarding an incident involving a customer and my response to them.

First and foremost, I want to express my sincere apologies for my inappropriate response to the customer. My comment about avoiding their trouble was unprofessional and does not align with the standards of conduct we strive to uphold at our company. I deeply regret this and any negative impact it may have had on our customer relations. While I understand that customers may sometimes provoke or frustrate us, it is my responsibility as an employee to remain composed and act in a professional manner at all times. I failed to meet these expectations, and I acknowledge that my response was not appropriate in the given situation.

I want to clarify that my intention was not to avoid assisting the customer, but rather to convey that I was aware of the challenges they were presenting and that I would take necessary steps to address them effectively. However, I realize now that my choice of words and tone were inappropriate and did not reflect the level of service we aim to provide.

I fully recognize the importance of maintaining a positive relationship with our customers and handling difficult situations with empathy and professionalism. I assure you that I have learned from this experience and will take it as an opportunity for personal growth and improvement. I will make every effort to handle similar situations more appropriately in the future, even when faced with provocation or challenges.

Once again, I apologize for my inappropriate response and any inconvenience caused.

Thank you for your understanding and support.

      Dear [Faculty/Dean/Teacher’s Name],

I hope this letter finds you well. I am writing in response to the query I received regarding my departure from class before the designated closing time. I would like to provide you with an explanation and address the concerns raised.

Firstly, I would like to express my sincere apologies for leaving the class before the scheduled closing time. I understand that it is important to respect the class schedule and adhere to the designated class hours. My actions were not in line with the expectations set forth by the school, and I acknowledge that I should have remained in class until the end of the session.

I want to assure you that my early departure was not due to any lack of interest or disregard for the class. Unfortunately, I encountered an unexpected personal situation that required my immediate attention. Regrettably, I did not communicate this to you or seek permission to leave, and for that, I take full responsibility.

I understand the importance of being present for the entire duration of the class, but I assure you that this incident was an exception. I am committed to attending all future classes promptly and remaining until the designated closing time. I deeply regret any disruption or inconvenience caused by my early departure. I will make every effort to communicate any personal situations or conflicts that may arise in the future and seek appropriate permission to leave if necessary.

Thank you for the opportunity of this response. I appreciate your understanding and guidance in this matter.

      Yours sincerely,

    1. Are you being queried that the patient left or that you were not available to attend to the patient? Get the facts on what happened and why the patient left before you respond. At this time, anything you say can be used for or against you. So choose your words carefully. Say the truth, be humble of you’re in the right, apologize if you’re wrong.

    1. Dear Adenike, sorry about your experience. Office politics can really make one’s stomach churn. Is it a one-man business? My honest opinion is that you resign from that place. Its best you resign than collect a dismissal letter for an error committed by your boss. Go further, if you can, to get a notary public to write the office, clarifying all issues and restoring your reputation. This will stop them from taking any legal action against you or any other malicious step. It may be instructive to review your employment letter. In all, pray and pursue peace. Leave peacefully and do it fast. You don’t want a dismissal letter in your file. It’s not the best for your mental health.

Meanwhile, read my article again and note the cultural dynamics to consider when responding to the query. Be sure to highlight your accomplishments while working there. Do it respectfully. The letter will speak for you when you are not in the decision room.

And it was impromptu, there was no prior information. I told him so. He insisted that I must go with him. And I refused, cause it was at the spur of the moment. Now I’m being queried cause he felt I bruised his ego or something. Please help me.

    1. Hello Omolara. It’s sad to experience such like occurrences. As a leader, you’ve got to take responsibility for the task. Is it too late to do the task? Who are the affected stakeholders and how can they be appeased quietly? Can the damage be undone? Those are pointers to check before you respond to the query. It’s not time for blame-games. It’s time to take charge and calm the situation.

What is your relationship with your team lead like? Have there been other queries in the past? If, yes, what were they about?
